Printing 101: What Does Collate Mean When Printing?

Collate means to put things in order. When you’re printing multiple copies of a document, collating makes sure that each copy has the pages in the right order.

For example, let’s say you’re printing three copies of a three-page document. If collating is turned on, the printer will print one copy with pages 1, 2, and 3 in order, then the second copy with the same pages, and so on. This way, each copy has the pages in the right sequence. Like this: 

  • Copy 1: Pages 1, 2, 3
  • Copy 2: Pages 1, 2, 3
  • Copy 3: Pages 1, 2, 3

If collating is turned off, the printer will print all copies of page 1 together, then all copies of page 2, and so on. This can be useful if you’re printing something like flyers or handouts where each page is the same. Like this:

  • All copies of Page 1
  • All copies of Page 2
  • All copies of Page 3

So, collating helps keep things organized when you’re printing multiple copies of a document.

Here are some examples:

Ways to Collate

Collating can happen in two ways: online or offline.

  • Online collation happens while the printing press is running. This is more common for simpler projects where all the pages are the same.
  • Offline collation, on the other hand, happens after the printing is done. It can be done by hand or by a machine. Hand collation is best for more complex projects with different types of pages.

For example, if you’re printing a catalog, some pages might be Z-folded, some might be saddle-stitched, and some might be business cards. These different types of pages can’t be easily collated by a machine, so they’re best sorted by hand.

In summary, online collation is great for simple projects, while offline collation works better for more complex ones.
